Handle incoming calls and visitors, provide assistance as required and connect the caller/visitor with the desired party in a friendly, courteous and cheerful manner.
Assist with trade show registrations; conference registrations and travel arrangements.
Assist with the planning of the Conference.
Prepare expense reports for staff.
Assist in preparation of board meetings/packets.
Pick up mail at the central mailbox in the building lobby daily; open, sort, stamp, distribute and FedEx items as requested.
Scan monthly copy count to copier leasing company.
Order adequate supply of office supplies, printing and other related materials.
Maintain administrative policies and procedures and update master document.
Print materials to maintain appropriate supply of proposal binders and member packets.
Maintain filing system and convert files to electronic format and store on the shared network as needed.
Manage Safebus Program; track SafeBus stickers, disseminate incident reports received from answering service to appropriate parties and mail SafeBus stickers to school entities as requested.
Manage member representative forms and interlocal agreements; obtain signatures from Board Member and appropriate School District Member Representative and scan final document to the network.
Participate in seminars and other training to maintain required knowledge and skill development.
Perform all actions relating to the public, customers and Agency in a manner that will avoid issues involving potential errors and omissions.
Perform other duties as requested.
Minimum two (2) years experience in similar position.
High School diploma or equivalent. College education and/or secretarial school desirable.
