Job Overview The Office Manager/Supervisor will serve as the academic office manager/supervisor for the Division of Transplant in its administrative interactions with the academic support staff, research and laboratory staff, the parent Department of Surgery, and other campus and medical center departments. S/he will supervise staff members who support faculty serving as transplant surgeons with full academic appointments and responsibilities, who have research studies (contracts and grants), teach at multiple levels in the School of Medicine and UCSF Medical Center, and perform other academic functions. This position has responsibility for time and attendance accounting and adherence to policies and procedures for personnel management, purchasing approvals, and general office management and supervision. These duties require excellent analytical skills, human resource and personnel supervision and management experience, knowledge about academic medical management, liaison with faculty, clinical and clinical representatives as well as knowledge of campus purchasing and finance policies and procedures, and must have independent and mature judgment at the highest levels of discretion and sensitivity. S/he is responsible for oversight of all personnel performance management, space allocation, purchasing of equipment and supplies inventory, reorganizations and renovations, equipment and finance audits, and division web site development. Five years of administrative experience working in a large academic or medical institution . Five years of experience supervising administrative teams in a union environment . Experience working with faculty and/or physicians . Excellent written and verbal communication skills . Comprehensive understanding of administrative/organizational processes/behaviors/principles . Excellent proven interpersonal and supervisory skills . Knowledge and proven competency in the use of computer based HR, payroll, timekeeping, purchasing, reimbursement systems . Knowledge of HR policies and processes . Detailed understanding of complex Human Resource principles and guidelines . Excellent time management skills: a natural inclination for multi-tasking.
