Processing Primary Function: Performs secretarial duties for Division Manager. Performs receptionist duties for division office. Performs payroll duties for weekly paid division employees. Assists in maintaining personnel records on division employees. Performs general secretarial duties for division office. Provides timely data and counsel as necessary concerning assigned areas of responsibility. Major Responsibilities: Opens and sorts mail, types, files, places calls for, makes reports for and to, and performs other clerical tasks for Division Manager. Greets, welcomes and assists visitors to division office. Communicates with security guards to help control traffic onto the premises. Answers incoming calls for division complex, handles personally, or transfers to other division personnel. Sends appropriate greeting cards to division personnel or relatives as required. Maintains necessary supply of breakroom items, such as cold drinks, coffee, utensils, and clean-up items. Includes counting change and paying for supplies as required. Dispatches pool cars to division personnel as required. Includes signing in and out and securing travel logs after use. Issues and distributes purchase orders for division purchases as instructed by central purchasing. Performs clerical duties which include: checking for accuracy incoming data, calculating, keypunching, and balancing all information and reports relative to payroll duties. Prepares or assists others in the preparation of various personnel forms and maintains individual employee files as directed by local Field Employee Relations Manager. Takes applications for employment and secures physicals from company nurse as required. Acts as liaison between Personnel Services Department and division employees on group insurance and Workmans Compensation matters. Provides information on employees as instructed to various company personnel and outside agencies. Prepares OSHA related reports for division as instructed by Manager of Safety and Health Services. Posts and maintains files for in company lab analysis on feed, feed ingredients and chicken fat for Division Manager. Provides assistance to unit managers and other division employees by filing, typing, preparing reports, and performing other miscellaneous duties as requested. Assists division accounting clerks in the performance of their duties. Performs other duties as required. Position Requirements: Academic: High school education with office or business courses or equivalent experience. Experience: Previous office experience required. Basic computer skills required. Personal: Identifies with the values, philosophy, and mission of Sanderson Farms, Inc. Ability to master secretarial skills, that is, typing and the use of office machines. Ability to organize tasks. High level telephone skills. Ability to communicate and relate to people effectively, so as to complete work on schedule and insure harmonious environment.
